Refund and Cancellation Policy

At VR Max Media, we value our clients and strive to provide high-quality digital marketing services. However, since our services involve professional labor, digital resources, and third-party advertising costs, we have established the following policy regarding cancellations and refunds.

1. Cancellation Policy

  • Clients can request to cancel their service subscription at any time.

  • To cancel, a formal written notice must be sent to contact@vrmaxmedia.com at least 15 days before the next billing cycle.

  • Any cancellation requests made after the start of a billing cycle will be applied to the following month, and the client will be responsible for the current month’s payment.

2. Refund Eligibility (Service Fees)

  • Full Refund: A 100% refund (minus a 5% payment gateway processing fee) is only applicable if the refund request is made within 24 hours of the initial payment and before the project onboarding or strategy phase has started.

  • Partial Refund: If a project is cancelled by the client after work has commenced but before completion, a pro-rata refund may be issued at the sole discretion of VR Max Media, based on the number of hours already invested.

  • No Refund: No refunds will be issued once the final deliverables (e.g., website launch, completed ad campaigns, or full SEO audits) have been delivered.

3. Third-Party Costs (Ad Spend)

  • VR Max Media manages advertising budgets for platforms like Google Ads, Meta Ads (Facebook/Instagram), etc.

  • Any funds paid directly to these platforms or through us for ad spend are 100% non-refundable, as these platforms do not refund the spent budget.

4. Professional Services (Labor)

  • Digital marketing is a service-based industry involving manual labor and time. Therefore, we do not offer refunds for “lack of results” (such as specific sales or rankings) as these are dependent on market conditions and third-party platform algorithms.

5. Refund Process

  • Once a refund request is received at contact@vrmaxmedia.com, our team will review it within 3-5 business days.

  • If approved, the refund will be processed and automatically applied to your original method of payment.

6. Timeline for Credit

  • Approved refunds will be credited back to the client’s account within 7 to 10 working days, depending on the bank’s or payment gateway’s processing time.

7. Chargebacks and Disputes

  • We encourage clients to contact us directly to resolve any service-related issues.

  • In case of an unwarranted chargeback filed by the client without prior communication, VR Max Media reserves the right to terminate all services immediately and use these terms as evidence in legal or banking disputes.

8. Service Interruption

  • If VR Max Media is unable to perform the services due to unforeseen circumstances, we will either offer a service credit or a partial refund for the unearned portion of the fees.

9. Setup Fees

  • Any “One-time Setup Fee” or “Onboarding Fee” charged at the beginning of a project is non-refundable, as it covers the initial research and account configuration labor.

10. Modification of Policy

  • VR Max Media reserves the right to modify this Refund and Cancellation Policy at any time without prior notice. The updated policy will be effective immediately upon posting on our website.
